Our team is growing and we're looking for an exceptional FF&E Project Manager to join mknly procurement.

Position: Full-time (40 hours per week)

Reports to: Director of Procurement

Location: In-Office, Calgary, AB

Travel: Minimal

The FF&E (furniture, fixtures and equipment) Project Manager is responsible for the planning, coordination and execution of all deliveries and installations on mknly procurement projects. Managing communication between the client, vendors, contractors, third-party logistics companies and mknly procurement’s internal design team, the FF&E Project Manager is required to prioritize and track tasks efficiently. Additionally, the FF&E Project Manager will work closely with mknly procurement’s installation teams and on-site coordinators up to and on the day(s) installations take place.

Once purchasing has been completed, the FF&E Project Manager becomes responsible for the completion of all mknly procurement projects. This position is critical to the success of the company as the final mile of the project is ultimately how the company will be judged by the client, regardless of how well the rest of the project was executed. By taking ownership of a crucial aspect of mknly procurement’s value chain, the FF&E Project Manager will represent mknly procurement’s values in all areas of work - implementing best practices in the scheduling, delivery and installation of the specifications package.

This is an in-office position. Remote work may become part of the role after completion of the probation period; however, this will be at the sole discretion of the Director and will be offered if it aligns with the needs of the business.


Specific Accountabilities:

FF&E Project + Install Scheduling

• Responsible for upkeep and maintenance of all project schedules post-purchasing

• Coordination of install sequencing with site teams and vendors

• Address any issues or delays that arise during the FF&E process

• Liaise with internal Purchasing Coordinator to issue weekly FF&E status updates for client and site teams

Communication

• Shop drawing coordination and tracking consultant reviews

• Coordinates with other project stakeholders, including designers + architects, contractors, and clients in a professional manner

• Keeps clients and project team informed of progress, issues, and changes

Site Coordination

• Tracking and coordination of change orders, site instructions, scope changes and other material project updates once the project is handed over from the design team

Install Coordination

• Planning and sequencing installations including coordinating with site contacts, contractors and third-party consultants as necessary

• General troubleshooting and problem-solving post purchasing

• Coordinating site walkthroughs with the client and design team – this may require the FF&E Project Manager to travel to the project site

Deficiencies

• Coordinating with receivers and warehouses to ensure quality assurance (QAQC) procedures are followed

• Responsible for remedying deficiencies with vendors in a timely and efficient manner

Requirements/ Skills:

• Degree or diploma in project management, interior design or a related field – practical experience will be considered in place of a degree or diploma

• 5+ years of experience in a project management role, either in construction, interior design or FF&E

• Competency using project management software such as Procore required

• Knowledge and proficiency in AutoCAD is required

• Experience working in Gather It, or a similar procurement management software is an asset but not required

• Understanding of Microsoft Office, in particular proficiency in Microsoft Excel, is required

• Knowledge of construction phasing, sequencing and permitting is required

• Understanding of building codes and furniture standards is an asset but not required

• Exceptional attention to detail, ability to prioritize tasks, and strong communication skills are required

Key Success Measures:

• Ability to complete project installations and deficiencies once handed over from the design team (with no further involvement from the design team)

• Ability to meet project deadlines both on small-and large-scale deliverables

• Ability and confidence to run internal and external meetings with all required stakeholders

• Company wide improvement in understanding efficiencies within the Project Management role

• Company wide improvement in logistics estimating
